In the d.vinci applicant tracking system, there is no system role "Works Council." The tasks of works councils vary across companies and are distributed differently. Therefore, you can create your own works council role.
At many of our customers, the works council is involved in the recruiting process through one of three variants.
The notes at the end of the page apply to all three variants.

The classic role
This is analogous to the roles already existing in the system, such as Department or HR Department.
The role "Works Council" usually has the following permissions:
- Applicant names in system emails | view
- Applications | view according to user groups
- Indicator "MB: Multiple Applications" | view
- Workflow Works Council
The permission "Application status of the role Works Council" usually includes the following application statuses:
- Approval Works Council
- With Works Council
- Rejected Works Council
Please also create status transitions when setting up the permission.
Involvement of the works council
To involve the works council, its user group is added to a job opening. As soon as there are applicants in the above-mentioned statuses, the works council can view them.
The works council is only responsible for internal applicants
The role "Works Council" usually has the following permissions:
- Applicant names in system emails | view
- Applications with indicator: "IB: Internal Applicant" | view
- Workflow Works Council
The permission "Application status of the role Works Council" usually includes the following application statuses:
- Approval Works Council
- With Works Council
- Rejected Works Council
Please also create status transitions when setting up the permission.
Involvement of the works council
You do not need to take any active steps here. Applications with the special indicator IB can be viewed by the works council immediately.

The role "Works Council" usually has the following permissions:
- Applicant names in system emails | view
- Applications | view according to user groups
- Applications with indicator: "IB: Internal Applicant" | view
- Workflow Works Council
The permission "Application status of the role Works Council" usually includes the following application statuses:
- Approval Works Council
- With Works Council
- Rejected Works Council

Notes for all variants
Configuration of the user
- The organizational unit of the user should be the top-level one. In most cases, this means "Global."
- The user should be configured as follows: Daily notification for: New applications
Notification of the works council
- If the daily notification for new applications is activated, the user will receive an email the next morning at around 8 a.m. notifying them of a new application, provided there is an application in one of the above-mentioned statuses.
- Alternatively, you can write a comment to the works council during a status change, and the selected individuals will immediately receive a notification.
- You can also create a task that is triggered immediately upon a status change and also sends an email immediately. This task could be named "Review by the works council." This way, you no longer need to remember to write a comment. However, this requires an additional permission, which you select in the task. For example, this could be named: "Tasks of the role Works Council."
