New help chatbot available from 01/01/2026!   ^ANNOUNCEMENT   

The new help chatbot will be available from January 1, 2026, offering you fast and reliable support for our products around the clock – directly in the system and in the Help Portal. As soon as the function is activated, a speech bubble will appear in the bottom right-hand corner, which you can use to start the chat.

What are the benefits of the new chatbot?

• Immediate help whenever you have questions
• Privacy policy guaranteed: The chatbot only uses content from our Help Portal – your system data remains secure. You can find more information here: Why did d.vinci choose Zendesk as a subcontractor?
• Modern and stable technology from Zendesk, our optional subcontractor
• Direct contact with support: If the chatbot cannot find a suitable answer, you can create a support ticket directly. The chat history is automatically attached as an attachment.

System-wide activation – you decide!

From January 1, 2026, the function will be activated for you by default. However, you have full control and can turn the chatbot off and on again at any time in the basic settings under “Options.” You have a convenient lead time until December 31, 2025, to inform yourself and decide whether you want to use the chatbot permanently.

Tip for optimal use:

Start a separate chat for each new question – this will give you even faster and more targeted support.

HTML-Editor – Technology  ^Better 

We have replaced the HTML editor in onboarding with a modern rich text editor variant. The new editor, which you already know from Portal Tasks and the footer of the Employee Portal, ensures better performance and offers an improved user experience when creating or editing tasks, messages, or correspondence templates. In addition, system-critical HTML tags such as <script> and <style> are no longer permitted. This provides even better protection for your system against faulty or malicious code.

We have made the following corrections  ^Fixed 

• Creating task packages with AI: When creating task packages with AI, the AI may have misinterpreted your due dates or created new task templates from your context. We have optimized the rules for the AI – it now interprets your task context correctly and no longer creates its own tasks that are not defined in the context.
• Create onboarding: When selecting a responsibility whose user had an invalid email address, an error message appeared when creating the new onboarding. Now, onboardings can be created without errors again—even if a user has an invalid email address. A note appears in the resulting onboarding so that you can correct the address later.

HTML-Editor - Technology  ^Better 

We have updated the technology behind the HTML editor in portal articles, portal tasks, and in the footer of the employee portal. This improves stability, ensures a future-proof license basis, and increases security. For you, this means more modern, higher-performance content editing in the affected areas.

We have made the following corrections  ^Fixed 

• Creating task packages with AI: If you used a longer text as input for the AI, an empty task package would occasionally be created without any indication. Now, the system displays a clear error message if something goes wrong and no longer creates empty packages.

Form Fields - Type: Date ^NEW

You can now use a new type of form field. The form field of type date allows date selection via a date picker. This ensures actual dates can be selected, avoiding typos or similar errors.
Input and output are possible in the following areas:

• Onboardee - Tab Additional Information
• Placeholders in
  • Portal Articles
  • Portal Tasks
  • Correspondence Templates

Task Lists - Anchor Points ^Better

We have improved the handling of task lists. After closing a task, you will return directly to the previous position in the list. The previously edited task remains highlighted, making navigation easier.

Employee Portal - Tasks ^Better

In the Employee Portal under the menu item Tasks, we have added the number of open tasks so that onboardees always know how much is left to do.

Onboardings - Task Lists and Icons ^Better

On the page Onboardings in the tab Tasks, we have made improvements.

• Clicking the checkmark-in-circle icon allows you to complete tasks with one click.
• Clicking the paper plane icon allows you to assign tasks.
• The envelope icon has been replaced everywhere in onboarding with the paper plane icon.

Images - Accessibility ^Better

For images in Portal Articles or Portal Tasks, you can now maintain the alternative text field to describe what is shown in the image. This is important for accessibility, as the text is read aloud by screen readers and helps people with visual impairments.

We have made the following corrections ^Fixed

• Employee Portal:
  • Employee portals where ratings have been submitted can now be deleted again.
  • The preview of an employee portal can now also be displayed again if there is another deleted onboarding for the same person.

Excel Export of Users - Contents   ^Better  

We have improved the table contents of the Users Export.

• The column filter has been extended to all columns.
• We have added a column for two-factor authentication, making the status directly visible.

We have made the following corrections   ^Corrected  

• Assignable task: We corrected the excessive spacing in emails related to assignable tasks.
• Employee portal: We fixed an issue with incorrect display during login to the employee portal.

Performance - Users/Roles/Rights    ^Improved  

Changes to users/roles/rights could previously lead to long loading times in the system. We have improved this.

Help Menu - Help for this Page    ^Improved  

Previously, on certain pages, the Help Menu included the option Show Help for this Page. Due to low usage, we have removed this option. You can still find help on all topics by using the search function in the help portal.

We have made the following corrections    ^Corrected  

• Login Page: When using the Contact HR feature, you can now insert videos again on the login page via the Editor.
• Languages: Unnecessary error messages related to translations are no longer displayed.

Create task package using AI    ^NEW  

When creating task packages , you can click on the button Create with AI. During the creation process, the field Context will appear, which you can use to describe what the task package should include. You can also paste content from documents, such as tables or similar, by copying and pasting. Based on this entered description, one or more tasks will be created, which you only need to review and adjust if necessary.

Tasks - Placeholders    ^Better  

We have improved communication in the task process. In tasks and task templates, you can now use additional placeholders to provide details about the contact person for the task. For example, placeholders such as first name, last name, email address, and phone number are available to specify the responsible contact person.

• Onboardings: Users with specific permissions now only see the onboardings assigned to them, no longer all onboardings of the organizational unit.

Portal settings - Deletion    ^Improved  

If the portal settings are linked to a task template and you attempt to delete them, a confirmation message will now appear to ensure you really want to proceed with the deletion. If the portal settings are used in task templates or existing tasks, these will also be deleted.

We have made the following corrections    ^Fixed  

• Task Packages: The organizational unit of task packages can now only be changed downward to prevent unintended effects on tasks.
