Announcement: Multiposting Switch ANNOUNECEMENT
We are switching over: The old multiposting system will be replaced on 12/11/2025! From December 12, placements will only be possible via the new multiposting system. If you are still using the old multiposting system, you will see a message to this effect in the system when you try to start a new placement.
Multiposting – LinkedIn Invited Candidates NEW
If you book LinkedIn Job Promotions via multiposting in the “Medium” or ‘Large’ packages, the new “Invited Candidates” feature will be activated automatically. Every day, LinkedIn identifies up to 25 potentially suitable candidates—regardless of whether they are actively looking for a job or not—and invites them specifically to apply for your position. This process runs for 14 days and can reach up to 350 qualified talents per job – at no additional cost or effort on your part.
Optionally, you can provide an email address to receive daily overviews. Even without providing this information, you will still benefit from the extended reach. The new feature appeals to both actively searching candidates (e.g., with “Open to Work” status) and passive talent identified by LinkedIn as a good fit. This increases the visibility of your job ads and significantly speeds up your recruitment processes.
We have made the following corrections FIXED
- Application Portals: In certain system configurations, automatic redirection occurred in some cases when the application portal was opened. Now, the internal view is displayed correctly again without visitors being redirected.
- Multiposting: In rare cases, a 404 error page was displayed when calling up the campaign details in the Job Openings. Now, all campaign details open reliably and completely again.
- Calendar integration: Problems could occur in individual cases when connecting calendars individually. The connection can now be established as intended again.

We are switching over: The old multiposting will be replaced on 12/11/2025 ANNOUNCEMENT
Starting on 12/12/2025, ads can only be placed using the new multiposting. If you are still using the old multiposting system, a corresponding message will be displayed directly in the system as soon as you try to start a new ad.

New help chatbot available from 01/01/2026! ANNOUNCEMENT
The new help chatbot will be available from January 1, 2026, offering you fast and reliable support for our products around the clock – directly in the system and in the Help Portal. As soon as the function is activated, a speech bubble will appear in the bottom right-hand corner, which you can use to start the chat.
What are the benefits of the new chatbot?
- Immediate help whenever you have questions
- Privacy policy guaranteed: The chatbot only uses content from our Help Portal – your system data remains secure. You can find more information here: Why did d.vinci choose Zendesk as a subcontractor?
- Modern and stable technology from Zendesk, our optional subcontractor
- Direct contact with support: If the chatbot cannot find a suitable answer, you can create a support ticket directly. The chat history is automatically attached as an attachment.
System-wide activation – you decide!
From January 1, 2026, the function will be activated for you by default. However, you have full control and can turn the chatbot off and on again at any time in the basic settings under “Options.” You have a convenient lead time until December 31, 2025, to inform yourself and decide whether you want to use the chatbot permanently.
Tip for optimal use:
Start a separate chat for each new question – this will give you even faster and more targeted support.

Spelling and grammar check in the text editor NEW
You can now use AI to check your texts for spelling and grammar directly in the text editor. This feature is enabled by default for all customers.
- Click the AI icon in the editor to open an overlay that checks your text.
- The entire content of the editor is always checked.
- Any changes made are highlighted in color in the overlay.
- You can use the feedback function to rate whether the result is helpful or not – this helps us to further optimize the feature.
- The changes can be accepted or rejected by closing the window again.
Important:
The editor is used in various places in our products. In individual cases, the texts in the editor may contain personal data. Please keep this in mind when using this feature.
Here's what to do:
- Enter text in the editor.
- Click the AI icon.
- Check the changes and accept them using the button.
How we deliver the feature:
- The feature is enabled by default for all customers.
- The feature can be disabled in the basic settings under Options → AI Features.
Multiposting – Launch campaign Better
When launching a new multiposting campaign, the individual steps are now more clearly laid out, making it easier to select the appropriate Job Boards, for example.
Text editor – Link insertion for images and videos Better
In the text editor, you can now insert images and videos via URL even more easily and securely.
- When inserting a link in the image editor or video editor, “https://” is automatically added.
- Local paths (e.g., “file://...”) are recognized and rejected.
- Inserted images now retain their original size.
What to do:
- Open the image or video editor in the text editor.
- Insert the desired URL.
We have made the following corrections Fixed
- Multiposting: Under certain circumstances, company placeholders were displayed in the wrong language in the campaign preview.
- Reporting: The fields “Earliest Possible Start Date” and “Desired Salary” are now available in the application report. This allows you to evaluate and compare applications in a more targeted manner – directly in the Excel raw data.

Reporting – Date Selection Improved
A revised module for date selection ensures consistent and intuitive usability.

- Job Advertisement: Placeholders embedded in the layout now appear empty in the footer of the job advertisement if they are empty.
- Rescheduling Appointments: When rescheduling appointments, certain configurations caused an error message. You can now reschedule appointments without errors.

Replacement of old Job Lists Reminder
On November 17th 2025, the old job lists (JobWidget v1) will be permanently deactivated and will no longer be available.
After this date, outdated lists will no longer be displayed or loaded!
What does this mean for you?
- Those authorized to give instructions or edit application portals will see a notification upon login if an old job list is still in use.
- In the usage statistics, you can check on which websites the old version is still embedded.

Mobile Number in the Applicant Form NEW
The new Mobile Number field is now available in the Application Questionnaire. Applicants can easily enter their mobile phone number there without making any mistakes. The field consists of a drop-down menu for the country code (e.g., +49 for Germany), which is automatically pre-filled according to the organizational unit, and a free input field for the number itself.
- The mobile number is always stored in the structured international format (e.g., +49 1721234567). Spaces are removed when saving.

The mobile number is available in the following places:
- In the Application Questionnaire
- When viewing, editing, and manually creating an application
- In applicant exports
- In our APIs (Apply API, REST API)
- In the full-text search (People can be found via their mobile number)
- The form fields Phone and Alternative telephone remain unchanged.
Tip:
With structured storage, you can, for example, start WhatsApp chats with applicants directly.

WhatsApp Chat – Advanced Logic for Mobile Numbers Better
When sending a WhatsApp message, the system now automatically checks which number is suitable for the chat:
- First, it checks whether a number is stored in the Mobile number field. If this is the case, this number is used for the WhatsApp chat.
- If no mobile number is entered, the system checks whether a mobile number is stored in the Telephone or Alternative Telephone field and uses this number.
This ensures that the correct number is always used for the WhatsApp chat and that you do not send messages to landline numbers or invalid numbers.
Tip:
If possible, always ask your applicants for their mobile number in the corresponding field so that the WhatsApp chat can be started immediately.

AI Power for your Job Publications NEW
From now on, you can get support from artificial intelligence when creating publications. Based on the content of the job opening, the AI automatically fills in the fields of the job publication and adds important elements (e.g., m/f/x) to the texts, such as in the position title. You can then review the draft and adjust it as needed before publishing it as usual.

Where is this feature available?
- When creating a job opening, by clicking the button Create and Create Job Publication with AI.
- In an existing job opening, by clicking the star icon on the Job Publications card.
Custom date range in Analytics NEW
In the job opening under the tab Analytics, you can now make more precise settings for the field Date Range and narrow the view to a timeframe you define. In the field Date Range, you will find the option Custom. Selecting this will display two date fields for the start date and end date. This allows you to enter timeframes relevant to you, such as project periods, the impact of campaign runtimes, launches, events, etc., for better analysis. Using the Data Interval option, you can specify how your data is grouped.
Application - Applications for Improved
While creating an application manually, you will now see a light gray hint at the field Application for. It indicates that – if you do not select anything – the main title of the job opening will automatically be used. This makes the application easier and clarifies that no selection is necessary here.
We have made the following corrections Fixed
- Job publications: We have fixed various minor errors in the job publications area. For example, the generation of the short description via AI now works flawlessly again, and the selection of images via the input field is now back in the correct position.
- Dropdowns: We have fixed errors in the dropdown selection. When searching for elements via text input, all elements of an organizational unit can now be found again by their name. When selecting job openings, the status of the job opening is now displayed as an icon in all relevant places.

Bulk Selection: As usual, you can add all available elements by holding down the Enter key for a longer time.

In the Job Opening, we provide a new evaluation in the tab Analysis. The pie chart Resume Data: Automatic vs. Manual gives you an overview of the adoption rate of CV Parsing. This allows you to immediately see how extensively the automatic resume parsing feature is already being used and where there is potential for improvement.
HTML Editor - Shortcut for inserting text Better
The shortcut (CTRL + ↑ (Shift) + V) for pasting text without formatting works again.

Analytics - Visualization Better
In the Job Opening, we have improved the visualization of some charts in the Analysis tab.

We now display received application as a line chart. Trends, peaks, and changes are much easier to identify -especially for longer time periods or highly fluctuating values. -
Applicant Feedback: 5 Star Rating
The star rating is now displayed in a horizontal bar chart (sorted in descending order). This makes it easier to quickly grasp frequencies and compare them.
Excel Export of Users - Table Contents Better
We have improved the table contents.
- The column filter has been extended to all columns.
- We have added a column for two-factor authentication, making the status directly visible.
Calendar Integration - Rooms Better
Rooms that previously failed to connect can now be reconnected. You will be notified accordingly.

In the Hiring Request, the reason to hire Ausbildung is now correctly referred to as Apprenticeship in English.

Restriction of Default Email Senders NEW
From now on, the system's own mailbox address noreply@ can only be selected as the new default email sender. This ensures that system emails are no longer mistakenly identified as spam. If you are currently using a different default sender, you can continue to do so until you wish to enter a new one in the field.
Accessibility - Application Form Better
The page title in the application form for the intro page is now “Application Method Selection for” followed by the position, as specified in the publication.
We have made the following corrections Fixed
- Multiposting: For German customers, the field VAT ID No. is no longer mandatory.
- Two-Factor Authentication: Two-factor authentication with Google Authenticator on iOS now works without errors.
- Menu: Searching for “Billing Address” in the menu now correctly leads to the entry “Master Data,” where you can set it.
- IP Policy: These IP restrictions are now activated immediately after changes.
- Job Publication API: Invalid special characters are removed to ensure valid XML is generated.

New Image Formats NEW
In the application portals where image uploads are possible, you can now use additional image formats (WebP and AVIF). These formats offer better page loading speeds.
Multiposting Better
We have made the following improvements in the area of multiposting:
- Reference: If no reference is provided in the job opening, we populate the publication ID in the field to ensure that a reference is always available for transmission to StepStone.
- Banners in Job Publications: Depending on the user's permissions, we display different banners on the topic of multiposting, ensuring you always receive relevant information. A video tutorial is also linked here.
- Loading Animation: For longer processes during campaign posting, we have added a loading animation to indicate that background processes are ongoing and that patience is required.
- Help Texts: We have added help texts below the input fields to make filling them out even easier.
- Labels: The labels under the "More Information" button are now readable everywhere.
- Error Messages: If an error occurs during posting, only the person posting will receive the email, not the responsible user of the job opening.
- Posting Without Job Advertisement: If the job advertisement is not activated in the application portal, you will receive an appropriate error message when attempting to post via a multiposting campaign.
Accessibility Better
We have made the following improvements to accessibility:
- Application Form:
- The date format for the birthdate field is now permanently visible as help text below the field.
- Dropdowns can be operated without errors on all devices.
- The page title for the application form now consists of "Application form for" and the job title.

- Job List: The category filter in the job list can now also be used with VoiceOver on iPhone.
Activity Log - Login Attempts Better
Failed login attempts are now listed in the activity log. This allows users and administrators to provide targeted support for login issues. The username used is documented in the log.
Job Publication Apply API - publicID Better
The Apply API now includes the publicID value for partners. This value is transmitted to our partners after the application is submitted, ensuring that each application can be uniquely traced back and assigned to the tenant.

- Placeholders: The placeholder for the salary range is now displayed correctly in all languages.
- Login: The button for the preferred login method now has the correct primary color.
- System Notices: In the application portals section, system notices remain visible until you actively dismiss them.

d.vinci Autoclean NEW
Starting today, we are enabling the d.vinci Autoclean feature, which you could activate or deactivate since the last update. If you have not made any settings, we will activate the feature for you.
If you have activated Autoclean, applications with the same name and email will automatically be assigned to the same person. Additionally, Autoclean ensures that no conflicts arise when different individuals, for example, have the same name but different email addresses and birthdates.

Analytics of Multiposting NEW
You can view the click rates of your multiposting campaigns directly in the job opening under the tab Analytics.
Prerequisite: The selected job board must provide click rate data.
Multiposting Permissions NEW
All roles that can view application portals now also have the permission Multiposting Profiles | view/edit/create/delete in their role.
Multiposting - Notice Better
On the Multiposting Profiles page, we now display a new notice to non-authorized users.
The notice provides information on the following:
- Why an authorized user is required to create a multiposting profile
- Who is currently listed as an authorized user in your system
- Costs are incurred only with explicit booking, and free postings are also possible
- What the next steps for the user could be

d.vinci Autoclean NEW
With d.vinci Autoclean, applications with the same name and email address are automatically assigned to one person, ensuring no conflict is triggered - provided the assignment can be made unambiguously. Additionally, the feature ensures that no conflicts arise for clearly different individuals, such as those with the same name but different email addresses and birthdates.

Rollout Process/What you need to do
From May 22: We will announce the new feature to all users authorized to make basic configurations via a flash message.
By June 12: In the basic settings, you can decide whether d.vinci Autoclean should remain permanently activated for your company.

Since the automatic conflict resolution works system-wide, multiple applications will be merged across all organizational units. Learn more in the help article.

Job Advertisements - Accessibility Better
Photos of users added to job advertisement templates as placeholders will now include an alt tag with the person’s name. This allows screen readers to read out the information.

In the Hiring Request or Job Openings, you will now find a new note in the field Wage/Salary Range. This links to the registration page for a free webinar hosted in cooperation with our partner Compensation Partner. On Thursday, May 8, from 11:00 to 11:45 am, you’ll learn more about their tool that allows you to create or adjust salary structures, increase the effectiveness of job advertisements, and retain talent in the long term. Access job lists with SSO now possible NEW
You’re using Single Sign-On (SSO) to protect your application portal and want to embed the job list externally, e.g. on your intranet? That’s now possible.
If a job list is embedded outside of the application portal (for example, in the intranet) and the linked portal is protected by SSO, access now works seamlessly. Our system automatically detects the SSO protection of the application portal. Users are redirected to your company’s login page and, after successful authentication, taken back to the original page where they can view the job list as usual.
Application Portal – Start Page Better
In the application portal, we've added the new section Functions section to the tab Start Page. This gives you a quick overview of how your application portal is currently being used.
There are currently two options available:

Simple Page
If you select this option, the start page is activated. You can then manage basic content directly in the application portal. Content that may be of interest to potential talents. For example, a heading, the job list, additional information and a footer. -
List of Job Publications
If you choose this option, the start page is deactivated. When the application portal is accessed, only a list of job publications is shown - without additional layout options. In this case, the application portal is primarily used to distribute job ads to job boards or other systems.
Application portal – performance and error handling Better
We have improved loading times, general error handling, and the clarity of error messages in the application portal.
Interview invitations – extended participant selection Better
You can now select more participants when scheduling an interview: all users who have access to the application as well as all users who belong to the same organizational unit as the job opening.

Better content recognition
To improve accessibility for screen readers, the main content area of the page is now marked. This makes it easier for users of assistive technologies to navigate pages.
This improvement applies to:- Intro page of the application portal

Better readability of content
Decorative elements, such as benefit icons, will no longer be read aloud by screen readers to enhance the user experience for those using assistive technologies.
System - success message display Better
Notifications about success messages are now dynamic in parts of the system. They briefly appear at the top center of the page and disappear automatically after a few seconds. This adjustment will be rolled out gradually across the entire system.
Data protection - image names Better
If images are downloaded from the system or external locations like job postings, they will now be assigned a different filename to protect any personal data that might be included in the original file name.
For example, the filename SebastianMueller.jpg is now changed to 233774748.jpg.
Internally, you will still see the original name to ensure correct assignment of the images.
Application portal - JobShop integration Better
The application portal now includes a new option for customers using the JobShop from talentsconnect.
By activating the JobShop application form option and entering the JobShop main domain, applicants will be redirected to the talentsconnect application form, and the data will be transferred to your d.vinci system.
This ensures a seamless user experience, potentially leading to higher application rates and lower dropout rates.

Conflicts - performance Better
For complex conflicts, such as when multiple applications are compared, we have improved performance.
We have made the following corrections Fixed
- Job Openings: Deleted companies no longer appear in the company selection for job openings.
- Application form: Saving the application form now works correctly again after "Apply with" has been changed.
- Job Publication: Job advertisement templates can now be correctly linked to job publications without errors.
- Reporting: We have further improved data consistency.

We have updated the links from the d.vinci system to our documents such as the AVV and others, as they have received a new address on our website. Additionally, we have updated a notification text in our system.

Application Portal - Search Engines and Security Better
The security and search engine settings have been optimized in the application portal.

Data Tab - Search Engines Section
The field Application portal visible to search engines is now called Indexing for search engines to clarify what enabling this function does.
Additionally, we have added an informational text to help you understand the impact of these settings:
"If indexing is disabled, a guideline is set for search engines and job crawlers, instructing them to ignore the portal's content. For intranet portals, additional protection through IP access rules and SSO configuration in the Security tab is strongly recommended." -
Security Tab
The field for IP restrictions is now always visible when opening the tab, ensuring greater transparency.
Application Form - Screening Questions Better
In the questionnaire type application form, screening questions are now displayed exactly where and in the same order as they appear to applicants when filling out the form.
We have made the following corrections Fixed
- Special Characteristics: A bug in the selection of special characteristics in screening questions has been fixed.
- Users: It is now possible to search for users using the special character parentheses ( ) without errors.
- Google for Jobs: To ensure the correct display of logos, we are now passing the file extension to search engines again.
- Screening Questions: Leading spaces in screening questions are no longer allowed to prevent errors in data processing.
- Multiposting: Access barriers in multiposting have been resolved.

Recommendations for strategic HR decisions. Frequency: As needed, maximum every 2 weeks. -

The info channels can now be subscribed to, and users will receive a notification about the options.
- The "My User" page is accessible to everyone. Infor channels can be subscribed to there.
- At the first login of the day, all users will see a notification about the info channels. New users will see this notification upon their first login in the future.
Should users be unable to subscribe to the info channels (system-relevant and consultation-relevant)?
Until February 16th, you can modify roles or create new roles that no longer include these permissions.
This is what the notification looks like for users on February 17th and for new users after their first login.

Application Portals – Search Engine Behavior Better
We have implemented a policy for search engines that sets the noindex, follow directive for your unstyled iframe job listing. As a result, the iframe list no longer appears in search results, while your job postings continue to be found and listed.
Basic Settings – IP Access Rules Better
You can now also enter IP addresses with a CIDR range of /32. For example: 185.11.222.22/32
MS Teams Meeting – Email Text Better
We have removed redundancies from the system invitation text for MS Teams meetings to enhance readability.
We have made the following corrections Corrected
- oData: When data for the organizational unit is retrieved, it is now identical in oData and the Excel raw data as expected.
- Font Awesome: The links to the Font Awesome icons in the Benefits now point to the freely available icons.

Questionnaires - Source Better
You can now configure in the master data whether a source should be selectable in questionnaires for applicants.
For example, you can create specific recruitment agencies as sources and assign applications to them without allowing applicants to select this source themselves.
Things to note
- By default, all existing and new sources have the setting Visible in Questionnaire: Yes selected.
- If you want to hide sources from applicants, change the setting in the sources to Visible in Questionnaire: No.

- System Login: There were occasional issues with login. These have been resolved.
- Application Portal: Despite the deactivated setting "Application portal visible to search engines," it was possible that indexing by search engines occurred. This behavior has now been fixed.

Users - User Photo Better
To improve the system's performance and optimize loading times, we have limited the maximum file size for user photos to 256 kilobytes. This supports SEO measures through faster loading times and ensures consistency throughout the system.
Photos you have already uploaded that currently exceed this size will not cause errors. However, new photos must meet the new requirements to be uploaded.
Calendar Integration - Rooms Better
To ensure the display of all availabilities and keep loading times low, we have limited the creation of rooms per location to 20.
Tip for locations with many rooms
If you need more than twenty rooms per location, we recommend splitting the locations. For example, by entering "Hannover - Floor 1" in the name field and then adding only the rooms located on that floor. For "Hannover - Floor 2," add the corresponding rooms, and so on.
Please also remember to assign the external name for the location if necessary, so your applicants do not receive internal data.
Correspondence Templates - Optimized wording Better
When selecting the status change option in correspondence templates, the field status is now called target status. This change makes it clearer to which status the correspondence template is assigned.
