What does AI-supported pre-filling do, and how can I activate/deactivate it?
AI-supported pre-filling is a Smartfill feature for the form fields in the posting process. It allows artificial intelligence (AI) to automatically pre-fill empty input fields in Multiposting campaigns. The AI uses relevant information from the additional context in the Multiposting profile, the corresponding job opening, and the associated publication and job opening template to supplement missing details, so you only need to check the content for accuracy. This saves time and ensures that all information is consistent and complete.
Activation/Deactivation:
In the Multiposting profile under the Data tab, it can be toggled on and off and applies to campaigns running through this profile.
What does “Direct Apply” (StepStone, Indeed, LinkedIn) mean, and how does it change the candidate journey?
Direct Apply allows applicants to apply directly on the respective job board for your job opening. In Multiposting Plus, Direct Apply is planned for StepStone, Indeed & LinkedIn – the feature is currently under development. The candidate journey is shortened as talents fill out the application form on the job boards and are transferred to d.vinci via application import.
Are there drafts/templates for recurring job openings?
A dedicated draft function is not provided. Recurring job openings can be efficiently realized through new campaigns with AI-supported pre-filling and consistent Multiposting profiles (company name, logo, billing address).
Setup/Data Transfer
How do we create a Multiposting profile?
Here is a guide: How do I create a Multiposting profile?
Can we use multiple company names?
Yes. For each company name, you create a separate Multiposting profile. The company name is correctly transmitted to the job boards. See: How do I create a Multiposting profile?
How does the organizational structure work in Multiposting?
In the Multiposting profile, an organizational unit must be selected. For complex structures, it may be advisable to create at least one profile per unit – especially if the company name, logo, or billing address differs.
Warning
Multiposting only works if a Multiposting profile is created for an organizational unit or its parent unit.
Which fields from the job opening are transferred to job boards?
The contents of the job opening are automatically transferred to corresponding fields in the ordering process and can be adjusted before placing the order.
How do I maintain the company logo and company name for consistent representation?
In the Multiposting profile, you specify the company logo and company name. These are used for booking campaigns and displaying job openings. Logos are usually displayed as square externally. Use a square logo to avoid cropping or unsightly edges.
What are common mistakes in campaign postings?
- The publication must have the status "Active" – otherwise, a Multiposting campaign cannot be started.
- For first-time postings, delays may occur due to the initial technical linkage of your data with the new interface at the job boards.
- Incorrect product selection (e.g., StepStone Campus instead of Professional) leads to rejections. Especially for posting Select products on StepStone, please refer to the following list of qualified job titles: https://www.stepstone.de/e-recruiting/jobtitel/
- Phrasing that is not AGG-compliant or could be perceived as such may result in your job opening being rejected by job boards.
- Unspecific or overly creative job titles may lead to job boards rejecting the posting because it is unclear which target group is being addressed or because job titles and tasks/requirements do not match, which can compromise the candidate journey.
In general: For each posting, the terms and conditions of the individual booked job boards apply, just as if you were posting directly on them. Especially for job boards that are booked regularly, it is worth taking a closer look or consulting with our Media Team to avoid errors and delays.
Job Boards
How long does it take for a job opening to go online?
Campaigns typically go online within 72 hours. Some job boards are faster than others. For the first posting on a job board, it may take a bit longer as data must be technically linked once by the job board.
Can we post for multiple locations simultaneously?
Multi-location posting is currently not possible. We generally recommend posting a separate job opening for each location. This has several advantages:
- Many job boards (e.g., LinkedIn, meinestadt.de) no longer allow free indication of multiple locations
- Programmatic campaigns of job boards work better when targeting a clear location
- The marketing budget is not split across multiple locations, resulting in higher performance per location
Can we post 100% remote jobs without a location?
Currently, specifying a work location is mandatory in the posting process due to requirements from some job boards. However, you can check the box for "Remote work allowed" under the work location. In such cases, we recommend specifying your main location.
How does posting with the Federal Employment Agency (BfA) work?
There are three ways to post via Multiposting with the Federal Employment Agency:
- Via Multiposting Basic – through the online shop: Posting for a fee of €10 (no placement order, linked via www.jobexport.de)
- Via Multiposting Plus – automatic free posting: All job openings are automatically distributed in the Organic Posting Network (no placement order, linked via www.jobexport.de)
- Via Multiposting Plus – Bring Your Own Contract: With a placement order if you have the BfA certificate (manual posting required)
Are there platform-specific requirements (mandatory fields, minimum salary, categories)?
What is always mandatory: A location. Remote can then be additionally marked.
Otherwise, requirements vary by platform. You can see these when selecting the platform. You must fill in the respective mandatory information before you can post the campaign.
Example: StepStone checks suitable product types for the position and rejects postings in case of misclassification. Many platforms do not allow free multi-location postings.
What happens if a campaign is rejected or if job boards have editorial queries?
If a campaign is rejected for technical reasons, the campaign status changes to "Not processed," and the person posting receives an email notification.
If a platform, such as StepStone, rejects a posting for editorial reasons, the person posting usually receives an email from the d.vinci Media Consulting team.
How quickly do changes to campaign content go live?
Changes in d.vinci are not automatically transmitted to the platforms. You must make these changes in the campaign details. Afterward, the changes are transferred to the platforms. The platforms review the changes and may reject them if they are significant. If everything is fine, the changes usually go live within 72 hours.
Warning
If you make significant changes, they may be considered as a new job advertisement. The job advertisement will likely be taken offline by the platform, and a notification will reach you.
Handling & Usage
How does Multiposting work step by step?
- Create a job opening and publication in d.vinci
- Start the ordering process in the publication via + Multiposting campaign
- Select platforms in the online shop
- Review/adjust content
- Press “Order” – done!
Detailed guide: How do I post a Multiposting campaign?.
How does automatic offline posting work?
d.vinci Multiposting checks once a day whether you have deactivated or archived a job opening. If this is the case, the postings on the booked platforms are automatically deactivated as well. You do not need to manually take anything offline/deactivate it in Multiposting. The check is currently set to midnight German time.
Warning
This feature must first be activated in the Multiposting profile under the Data tab with the option Automatic ending.
What is automatic free posting (AFP)?
With Multiposting Plus, all your job openings are automatically published on free platforms – without a single additional click. Once you activate AFP, all jobs for which the corresponding publication channel is activated are automatically distributed.
Warning
This feature must first be activated in the Multiposting profile. See: How do I activate automatic free posting in Multiposting?
How can I post a campaign for multiple locations?
Multi-location postings at the push of a button are currently not possible.
It is necessary to create a separate campaign for each location. Simply copy the publication and post it again via Multiposting. For the campaign, select a different location than before. The advantage: The budget is focused per location, and the performance of the job openings is higher.
How can we tell if a posting is online, and where is the live link?
In the job opening overview, the campaign status changes to “Online” after publication. Click numbers can be viewed in the publication under campaign details. Live links – if available (depending on the platform) – are displayed in the campaign context.
What happens to ongoing postings when they expire or are archived?
The automatic ending (activatable/deactivatable in the Multiposting profile under the Data tab) deactivates booked platforms once daily if the job opening is deactivated/archived before the booked posting expires. The feature must be activated in the Multiposting profile; otherwise, you must manually take the campaign offline in Multiposting.
Reporting & Advertisement Performance
Which performance data is visible in the system?
Currently, you can view the click numbers on your job openings at the booked job boards in the campaign details. In the job opening, under the Analysis tab, the booked campaigns are displayed in the Page views per application portal section.
Note:
We can only display data provided by the job boards. If a booking shows no clicks, it may be because we did not receive this information or no clicks occurred. We plan to provide more data in the future.
Are UTM parameters supported?
Performance tracking via UTM parameters up to the incoming application is currently under development and will be available in the future.
Why are no click numbers displayed?
Only data provided by the job boards is displayed. If clicks are missing, the platform may not have transmitted the data, or the job opening is not yet online. Check again after up to 72 hours.
Checklist for low click numbers: What can I optimize?
- Clear and logical title ((educational) background + role + (specialized) field)
- Only one location per campaign
- Choose the appropriate product type/platform category
- Sufficient budget/product duration per platform
- Logo/company name maintained in the Multiposting profile
Contracts (Multiposting Plus)
Can we store our own contracts?
In Multiposting Plus, you can store your own framework agreements with job boards in the Multiposting profile.
See: How do I create framework agreements for Multiposting?
How many contracts can I store?
As many as you like, provided the platform is connected.
If a platform is not connected but you would like to post on it, please contact us.
Does storing contracts cost extra?
When using Multiposting Plus, you can store contracts without additional costs.
See: How do I create framework agreements for Multiposting?
What information is required for framework agreements (Bring Your Own Contract/BYOC)?
This varies by job board. However, a contract ID or similar is often required.
Example Federal Employment Agency:
Certificate file and password for one-time authentication: Employer customer number (BfA), Supplier customer number (SupplierID), Alliance partner number, and name of the supplier.
How does the system prioritize framework agreements and the online shop?
Framework agreements complement the online shop: If a framework agreement is stored for a platform, a new step is added to the ordering process before the online shop, where these are prioritized in the respective campaign. The online shop remains usable for additional pay-per-use bookings.
In any case, the automatic free posting simultaneously distributes to free platforms (if the feature is activated - see: How do I activate automatic free posting in Multiposting?).
What exactly is Automatic Free Posting (AFP), and how do I configure the distribution?
AFP = Automatic Free Posting: With Multiposting Plus, all job openings are automatically published on free platforms. Activate it in the Multiposting profile; all jobs for which the selected publication channel is activated are distributed.
Here is an overview of free posting options: Where is free posting automatically enabled?
Costs & Billing
What does d.vinci Multiposting cost?
Activating and using Multiposting Basic is free. You only pay for the postings you book via the online shop (pay-per-use model).
The costs for Multiposting Plus start at €51.40 per month and depend on the number of your employees.
When concluding a framework agreement with an external platform via d.vinci Personalmarketing, you receive a 5% discount on Multiposting Plus.
How and when is billing done?
For bookings via the online shop, we bill according to the pay-per-use model, i.e., per posting. Bookings are automatically invoiced monthly. The payment term is 14 days.
Billing for Multiposting Plus ideally follows the same rhythm as billing for the Applicant Tracking System, usually annually.
Note
We are currently working on enabling billing as promptly as possible after successful online posting.
Which billing address is used?
When creating the Multiposting profile, you select one of three options for the billing address:
- Invoices are sent to the same address as the Applicant Tracking System invoice
- Invoices are sent to a permanently stored billing address
- Billing address is selected per campaign in the ordering process
How are campaigns with multiple platforms represented on the invoice?
Online shop bookings are invoiced monthly and billed per selected billing address (pay-per-use, per posting). Each campaign is listed as a separate invoice item. The billing address is set in the Multiposting profile for all postings of the profile or selected individually for each campaign – depending on what you have configured in the Multiposting profile.
More information about billing addresses: What are billing addresses?
What happens to costs if a job opening is rejected?
Rejections often occur due to incorrect product selection, missing information, or lack of framework agreement budget. Costs may incur once the job opening goes online. Refunds are not guaranteed; goodwill lies with the respective job board.
How can we change billing addresses retroactively?
When booking a Multiposting campaign, you must ensure the correct billing address. Once a Multiposting campaign is booked, the billing address cannot be changed.
Warning
We reserve the right to charge a fee of €150 per invoice for corrections. Invoices without a cost center or with incorrect contact persons (e.g., “to the attention of”) will not be corrected.
Can a booking be canceled?
Once you press "Order," the data is transmitted directly to the booked platforms without delay. Automatic cancellation is therefore not possible. If you wish to cancel a booking, please contact the d.vinci Media Team via email.
Warning
We cannot guarantee that the cancellation will work. Once the job opening goes online and costs are generated, costs will apply unless the job board has a goodwill policy.
