When the menu item Reportsis opened, you will find yourself on the page Reports – with the tab Dashboard open. Here you see a graphical representation of data and processes. With the data from the dashboard you can strategically steer your recruiting strategy, identify weaknesses, and continuously improve your actions.
Distinction from the tab “My Reports”
Under My Reports you have the option to view additional graphical reports, open further reports, create Excel raw data reports, and use the reporting interface.
Value and benefits
The dashboard offers you a variety of advantages that make your recruiting process more efficient and transparent:
- Time efficiency: Instead of creating extensive Excel reports, you can view and analyze all relevant data directly in the dashboard – graphically prepared and easy to understand.
- Flexibility: With filters and time period options you can customize your analyses and display exactly the data that is relevant to you.
- Transparency: The performance of the phases and application quality per source give you a clear overview of how successful your recruiting measures are and where there is potential for optimization.
- Strategic decisions: The graphical evaluations enable you to make data-based decisions – whether in the selection of sources or the optimization of your recruiting process.
- Simplicity: All changes and data are applied immediately and are available at any time. This saves time and reduces sources of error.
Configuration
Open the page Reports. The page Reports with the tab Dashboard open will be displayed automatically.
To ensure a correct display of application statuses in the individual phases, the Journey must first be edited. See: How do I configure the Journey?

Permission
To access the page Reports, users need the permission Reports | view. -
Prerequisite: Journey
The Journey assigns your application statuses to different phases in the application process. This assignment is the basis for the correct preparation of your reports in the dashboard on the Reports page. See: What is the Journey? and How do I configure the Journey? -
Data control
Under the title of the tab you will find options that allow you to simultaneously narrow down all data displayed on the page.-
Time period
The time period determines which applications you see in the evaluation. By default, 7 days are set.
Example:
With 7 days, you only see applications that were received in the last 7 days – including all statuses they went through. Older applications (that have been in the system for more than 7 days) are not displayed.
You can adjust the time period at any time and select other periods:- Last day

vs. Previous Period
This is a comparison with the previous period. In some reports, data is shown compared to the previous period. What does “previous period” mean?
The previous period is exactly as long as the currently considered period – just directly before it in time.
Example- Today: January 21
- Selected period: Last 7 days (January 14–21)
- Previous period for comparison: The 7 days before (January 6–13)
This lets you see how the numbers developed compared to the previous week.

Received Applications
Shows the number of all applications that were received in the system during the selected period. This also includes declined and reduced applications. Deleted applications are only displayed here if, when deleting, the Keep statistical data option was selected. All status changes of applications that were received during the selected period are taken into account. -
(Number of) Active Applications
Shows the number of applications that are currently still active during the selected period. This does not include applications with a final status such as Declined, Hired or similar. All status changes of applications that were received during the selected period are taken into account. -
Hired
Shows the number of applications that, during the selected period, were set to a final status with the event End of measurement for report "Time to hire". All status changes of applications that were received during the selected period are taken into account. -
Time to Hire
Shows the time (in days) from the start of the job search to the first final status with the event End of measurement for report "Time to hire", including comparison with the previous period. -
Hiring Rate
Shows the proportion of hired persons in relation to the total number of applications. -
Process Quality
Evaluates the application process based on applications and application status transitions with respect to the Journey. If an application moves linearly through the Journey, the process is rated as good. If an application skips Journey phases or is pushed back into earlier phases, the process is rated as needing optimization. -
All Applications
Shows the number of all applications that were received in the system during the selected period. This also includes declined and reduced applications. Deleted applications are only displayed here if the Keep statistical data option was selected when deleting. All status changes of applications that were received during the selected period are taken into account. -
(Distribution of) Active Applications
This chart provides an overview of the Candidate Journey, divided into the different phases. It is immediately visible in which phase of the recruiting process candidates currently are. All status changes of applications that were received during the selected period are taken into account. -
Phase Performance
Shows the performance metrics for each phase of the application process. The report provides information on how many applications pass through the individual phases, where applications drop out of the process, and how long they remain on average in the respective phases. All status changes of applications that were received during the selected period are taken into account.-
Received
Shows the number of applications that were received in the system during the selected period and were in this phase. This also includes declined and reduced applications. Deleted applications are only displayed here if, when deleting, the Keep statistical data option was selected. -
Active
Shows the number of applications that are currently active during the selected period and which phase they are in. -
Conversion
Shows the proportion of applications that were not declined in this phase. More precisely, it shows applications that made it from this phase to one of the next phases. Applications that were set to a final status without the event End of measurement for report "Time to hire" (e.g., declined) do not count towards conversion. -
Dropoff
Shows the proportion of applications that were declined in this phase. More precisely, it shows applications that from this phase were set to a final status without the event End of measurement for report "Time to hire". -
Avg. Processing Time
Describes the average time in days that applications were in this phase. -
Color meaning in "Performance of the phases"
The phases are color-coded to highlight conversion rates.- Green: Conversion rate over 70% – target range achieved
- Blue: Conversion rate between 50% and 69% – acceptable
- Yellow: Conversion rate between 30% and 49% – needs improvement
- Red: Conversion rate below 30% – critical

Application quality per source
Shows which source provides the best quality of applications. You can see how many applications are present in the respective phases for the source.
Sources that provide applications which only make it to phase 1 and are then declined have a low quality score. Sources that tend to provide applicants who also make it into the last phases receive a higher quality score. All status changes of applications that were received during the selected period and for which a source was recorded are taken into account. -
Source Performance
Here, in addition to the previously listed chart "Application quality per source," the exact numbers and the quality score are provided. A low quality score means that applications from this source are mostly filtered out in the early phases. A high quality score means that applications from this source make it far forward in the Candidate Journey, i.e., into the late phases. All status changes of applications that were received during the selected period are taken into account.

- Good quality (blue)
- Medium quality (yellow)
- Poor quality (red)

Hotspots of inefficient phases
Shows the phases from which applications are frequently pushed forward or back in the Journey. This can be an indication that this phase should be examined more closely and checked for inefficient processes.
Example:
In the period under consideration, 18 new applications were received by you.
In the evaluation "Hotspots of inefficient phases," 45 applications with the status "Intake & data protection" are shown (this status name comes from our system – it may have a different name for you).
What does this mean?
For some applications, the status was changed multiple times and then reset to "Intake & data protection." Each of these status changes is counted in the evaluation, which is why the number is higher than the actual number of applications received. -
Inefficient application movements
Provides an overview of applications that do not move linearly through the application process.
Here you see all status changes that do not follow the normal sequence – this includes:
Forward jumps (a phase is skipped)
Backward jumps (application is reset to an earlier status)
Values in the chart:- From Phase: Here you see the application status from which the change to another status occurs.
- To Phase: Here you see the application status to which the change was made.
- Number of: How many applications are affected by this jump
- Propotion of: What percentage of applications in the initial status make this jump
- Trend: How the number changed compared to the previous period

Download of reports in the dashboard
On the graphically prepared reports on the page you see a download icon on the far right . If you click it, an Excel document of the report is created and downloaded. Depending on your browser settings, it may first be saved only or displayed directly to you. -
Change of data
Changes to the time period or filters that you make are saved immediately. There is no separate save button. -
Further reports
Do you need additional reports? Under the My Reports tab you can view additional graphical reports, create Excel raw data reports, or use the OData reporting interface . -
Deletion of reports
Reports cannot be deleted from the dashboard. The dashboard consists of evaluations defined by us.

Received Applications
How our customers use this
The dashboard in the Reports area is used to quickly and clearly obtain graphical evaluations of the recruiting process. Particularly helpful is the ability to set filters and time periods directly in the dashboard to analyze specific data. Companies with high data volumes benefit from the improved overview and the direct display of the most important key figures, enabling them to identify weaknesses and derive actions.
