Reports are evaluations of selected data. By analyzing data, you gain a better understanding of processes in your system. You can use this data to adapt and improve your processes.
We offer various features in the system that enable evaluations.

Menu item Reports
Here you will find reports for the entire applicant management system.-
Tab Dashboard (Detailed graphical representation of your recruiting process)
With the data from the dashboard, you can strategically manage your recruiting strategy, identify weaknesses, and continuously improve your measures. This includes the Journey, which allows you to assign your application statuses to the different phases of the recruiting process - this is the basis for the data in the dashboard. -
Tab My Reports
Here you can see charts for additional evaluations provided by us.- Button Further Reports (Graphical representation of your data directly in d.vinci)
Using the button, you can configure additional graphical reports, which will then be displayed under My Reports. - Button Excel Raw Data (Detailed evaluation via Excel reports)
Here you can generate Excel raw data reports, which you can then graphically prepare using your own pivot tables, etc. - Button with three vertical dots
- Option + Report
Also creates an Excel raw data report. - Option Use Reporting API (Detailed evaluation via external systems)
Here you can access the oData Reporting API. This allows data from applications, job openings, and onboardings to be transferred to external systems via the reporting API and used for more extensive evaluations.

Menu item Reports
To access the menu item Reports, users need the permission Reports | view.
The content visible to users is determined by the organizational unit assigned to the user. This means: Users created at the top organizational unit can see all data. Users created at a lower organizational level can only see data from the same or lower organizational units. -
Menu item Reports - Tab Dashboard - Journey
To adjust the Journey, users need the permission Journeys | view/edit/create/delete. -
Analysis in job openings
To view the tab Analysis in job openings, users need the permission Analysis (of job openings) | view in their role.

My Reports/Graphical Reports
On the Reports page, you can open the tab My Reports. There you will find some graphical reports that are frequently used. Additionally, you can find more graphical reports by clicking the button Further Reports on the page.-
Number of Received Applications
Counts how many applications have been received. Using the filter, the statistics can be narrowed down by time period, organizational unit, category, etc. -
Number of Status Transitions
Measures how many status changes have been made for each application status. -
Applicant Feedback
The report "Applicant Feedback" displays anonymized statistical data as average values per response. -
Applicant Feedback: Text Responses
Displays text responses to feedback questions. -
Application Ratio
Breaks down applications by the selected value, e.g., salutation. -
Application Ratio (Source)
Shows through which sources the applications were received. -
Processed times since Application Entry Date
Displays the time it takes for applications to reach a certain point.
You can choose between these two evaluations- Time until hiring
Measures the average time between the "start of the search" for the job opening and the first achievement of a status with the event "Time until hiring" per application. - Time until appointment
Measures the average time between the "start of the search" for the job opening and the first achievement of a status with the event "Time until appointment" per application. The end time is the date and time set during the status change if available.

Process times since Start of Search (Job Opening)
Displays the time from the start of the search to the final status of an application for the job opening. -
Application Idle Times
Idle times per application show how long applications remain in certain statuses. The system automatically records this and displays them for each month. This helps you identify bottlenecks in the process and make targeted improvements. -
Processing time
Measures the average time between application receipt/creation date and the first achievement of a final status. Only applications that have already reached a final statusat least once are considered. -
Feedback time
Measures the average time between application receipt/creation date and the first sending of a correspondence (excluding automatic confirmation email). The correspondence sent via "Send Info" is also considered. For a scheduled email to the applicant, the actual date of email dispatch is used.

Sharing Reports
It is not possible to share report information via link with external parties who do not have access to d.vinci. However, Excel raw data reports or data collected via oData can, of course, be shared through the respective programs. People with d.vinci access can create the same graphical reports and view the same information on the Dashboard tab in Reporting or the Analysis tab in the job opening.

How our customers use this
Many customers use graphical reports merely for quick overviews. To capture precise data, the Excel raw data reports are suitable. These can also be imported into other tools like Power-BI via our oData Reporting Interface and evaluated there.
