New Features
Task origin displayed transparently
In a task’s title card, you can now see the origin of that task if it comes from a task template—including the template name and associated task package. When editing such a task, you’ll also see a note indicating that you’re only customizing this specific task within the current onboarding. A direct link takes you to the task template if you’d like to customize it system-wide. This allows you to centrally manage and continuously optimize your onboarding processes—with full transparency regarding which changes affect only individual onboarding sessions and which impact all future processes.
Apply a task template retroactively to ongoing onboarding sessions
When creating a new task template within a task package, you can now specify directly whether it should also be applied to onboarding sessions that are already in progress (i.e., active and paused). The task is automatically created for all applicable onboarding sessions listed under this option. When deleting a task template, you can also decide whether the open tasks should be removed from applicable active and paused onboarding processes. This ensures your onboarding process remains up-to-date and consistent even when changes are made.

Organizational Units – Delete
In some cases, associated correspondence or template layouts were not removed when an organizational unit was deleted. Now, when an organizational unit is deleted, its associated templates are also automatically removed from the onboarding.

Task details with one click New
In the task list of an Onboarding, the individual rows are now clickable and lead to the detail page of the respective task. There you will find a clear display of all properties and functions as well as the most important action buttons such as Complete, Transfer or Reopen. This way, you have all details at a glance when needed and can conveniently manage tasks. Alternatively, you can still use the action icons directly in the task list – depending on what works best for your workflow.

- Notifications for incoming messages from Onboardees – direct link to settings: In automatically generated notification emails for incoming messages from Onboardees, you will now find a direct link to My User in the footer. There, you can adjust your notification settings yourself if you would like to receive fewer or different notifications. This way, you have full control over your email notifications – without detours.
- Transferable tasks with conditions – note: If you transfer a task that still has outstanding prerequisites, you will now be notified by a warning message that the recipient can only complete the task once all prerequisites are fulfilled. For the recipient, the button Complete is hidden and a note is displayed stating that the task is not ready yet. This makes it transparent when a task can be processed – and avoids misunderstandings.

- Task filter with umlauts: If you used a filter with umlauts or special characters in the task list of an Onboarding and then edited and saved a task, an error occurred. Editing and saving tasks now works smoothly even with active filters containing umlauts or special characters.

Efficiently Completing Tasks with Conditions New
If a task is blocked by other tasks, the system now guides you step by step through the completion process until you reach the last open dependency. As soon as all blocking tasks are completed, the complete button will appear on the top‑level task. This allows you to work through complex task chains seamlessly and without detours.

New features
Email notifications for new messages from onboardees New
Responsible supervisors and managers of an onboarding now automatically receive an email as soon as a new message from their onboardees arrives in d.vinci. This allows them to react promptly and ensures that no important feedback is missed.
For all existing onboarding users, this new notification option is already activated. When creating new users, both notifications – Upon incoming message from an applicant and Upon incoming message from an onboardee – are enabled by default. Each user can now adjust these settings themselves by opening the user menu, selecting My user, then opening the tab Notifications and adjusting the settings there.

- Filter – search parameters with umlauts: When searching for onboardees using umlauts or special characters and then using the back button in the filter, the search parameters were displayed incorrectly and previously found results were no longer shown. The filter now remains correctly preserved, and the search results are displayed as expected.

Automatic reminders for delegated tasks New
Recipients of delegable tasks now receive automatic reminders by email – two days before the due date and on the due date itself. This ensures that no task is forgotten, even if it has been delegated.

- Employee portal app: In Google Chrome, a white screen could appear when automatic page translation was active and the page was changed during a short success message (e.g. when logging in or completing a task). This behavior has been fixed – the app now remains stable even with the translation function enabled.

Access the community via the help menu New
In the help menu, you now have direct access to d.ock - your HR community. Clicking on it will take you to our platform for real exchange with other HR experts, collaborative learning, and the development of HR topics that matter.

- Design adjustments: We have made several design adjustments, including the use of a new, more readable font and changes to some of the colors used.
- New icon for additional functions: To make our system even more intuitive, we have replaced the gear icon in several places with a three-dot icon to better represent the underlying functions.

Upload Attachments for Tasks
You can now specify in tasks whether an attachment must be uploaded when completing the task. The system displays an upload field with a description during task completion and automatically creates a history entry. This allows documents to be captured directly in the task process and stored in a traceable manner.

Task chains with conditions NEW
You can now define conditions in task templates and individual tasks. The system automatically checks whether these conditions are met and considers them in all automations. This enables significantly more tasks to be automated – for example, a task will only be automatically transferred once the necessary information has been collected in another task. Blocking tasks are clearly highlighted in the task lists.

- Employee portal: When the supervisor was changed during onboarding, the contact person in the employee portal remained unchanged. Now, the default contact is automatically updated as soon as the supervisor is adjusted.

Spelling and Grammar CHeck in the Text Editor NEW
You can now use AI to check your texts for spelling and grammar directly in the text editor. This feature is enabled by default for all customers.
- Click the AI icon in the editor to open a window that checks your text.
- The entire content of the editor is always checked.
- Any changes made are highlighted in color in the window.
- You can use the feedback function to rate whether the result is helpful or not – this helps us to further optimize the feature.
- The changes can be accepted or rejected by closing the window again.
Important:
The editor is used in various places in d.vinci Onboarding. In individual cases, the texts in the editor may contain personal data. Please keep this in mind when using this feature.
Help Chatbot NEW
The new help chatbot is now available, offering you fast and reliable support for our products around the clock – directly in the system and in the Help Portal. As soon as the function is activated, a speech bubble will appear in the bottom right-hand corner, which you can use to start the chat.
What are the benefits of the new chatbot?
- Immediate help whenever you have questions

- Modern and stable technology from Zendesk, our optional subcontractor
- Direct contact with support: If the chatbot cannot find a suitable answer, you can create a support ticket directly. The chat history is automatically attached as an attachment.
Visibility for users:
The help chatbot in the system is only visible to users who have the "Access help portal" permission. For these users, the speech bubble icon is displayed in the bottom right corner.
Tip for optimal use:
Start a separate chat for each new question – this will give you even faster and more targeted support.

Creating Task Packages with AI Better
The AI now automatically recognizes the language of your input. When creating task packages in English, French, or another language, titles and descriptions are now generated in the correct language.
